How does the Waitlist Invitation feature work?

A well-filled waitlist is essential to make optimal use of your schedule and successfully fill last-minute appointments. With Waitlist Invitation, your waitlist grows automatically and at the right moment, without adding extra work for your team. This way, you always have an up-to-date and relevant waitlist.

This feature is available for practices with an active PMS synchronization.

🔄 How does Waitlist Invitation work in practice?

Once the feature is activated, TurnUp builds your waitlist smartly and automatically:

• Automatic invitation
  Patients with a scheduled appointment automatically receive an email or in-app notification asking whether they would like to join the waitlist.

• Smart timing per treatment
  You decide when the invitation is sent. The timing can be set separately for each treatment or treatment category.

• One click, automatically added
  If the patient accepts the invitation, they are immediately added to the waitlist. No manual actions or additional follow-up required.

⚙️ How do you set up Waitlist Invitation?

You activate this feature per treatment or treatment category:

1. Go to the Overview tab in the Treatments module.
   
   If you use treatment categories and would like to enable this feature, go to Categories and edit the relevant category to activate the feature.
2. Create a new treatment or edit an existing one.
3. Enable the toggle to activate the feature.
4. Once enabled, enter the number of weeks.
   
   The number of weeks you set determines how many weeks in advance patients with an appointment for this treatment will receive an invitation to join your waitlist.

📍 Example

Patients who only come in for an annual check-up are often only interested in an earlier appointment shortly before their scheduled visit.

In that case, there is no need to add them to the waitlist immediately after scheduling the appointment.

With Waitlist Invitation, you can, for example, set the following for this treatment:

• 4 weeks before the appointment, the patient receives an invitation

• If the patient accepts, they become automatically eligible for last-minute appointments from that moment on
